EVENTS AND PRIVATE HIRE

  • When this agreement is signed in the name of the company, agency, firm or similar society, the person signing represents to Butterfly that s/he has full authority to sign such contract.
  • All bookings must be confirmed in writing and must also provide a non-refundable initial deposit of 50% of the total projected cost for the event and a credit card guarantee for all bookings. Full payment must be made seven days prior to the event.
  • If the Client cancels the function less than and including 28 days before the event date, it will pay to Butterfly the following sums and any other costs incurred by Butterfly on the Client’s behalf.
    • Cancellations between 28-21 days (inclusive) in advance – 50% of the total projected cost
    • Cancellations between 20-11 days (inclusive) in advance – 75% of the total projected cost
    • Cancellations less than 10 days (inclusive) in advance – 100% of the total projected cost
  • Butterfly requires the final number of guests 72 hours prior to the event. This number will be considered the guaranteed minimum and will be charged for. Should the final number increase on the day, it will be charged accordingly. However if the number decreases of more than 50% to the initial enquiry we reserve the right to charge the original number given as a minimum.
  • All special menu requirements. (vegetarians, vegans, allergies) must be confirmed by midday on the day prior to the event. Any additional requirements provided on the night will be charged for accordingly.
  • All menus, wines and champagne are subject to availability. In the event that the chosen item is not available, Butterfly will endeavour to find a suitable alternative in agreement with the Client. Please note that stated prices are valid for a maximum of six months. After that they will be subject to reviews and market conditions.
  • No food or beverage may be brought onto the premises by the Client or its guests for consumption unless prior consent has been obtained by Butterfly. When consent is given, a sample of the food must be provided by the Client for health and safety purposes.
  • The Client will be held responsible for any damage caused to the property and the orderly conduct of the guests attending the event. They will also be held responsible for any damage caused to the property by any outside contractors unless booked by Butterfly. Please note that Butterfly reserves the right to escort customers off the premises if they conduct themselves in a disorderly fashion.
  • The Client must collect all equipment, theming, décor after the event. Butterfly will not be held responsible for any items left without prior arrangements.
  • In the unlikely event of personal illness or other circumstances beyond the control of Butterfly, a substitute artist may be sent to you in place of your booked artist. If you decline the offer or an alternate artist cannot be found a full refund will be given.
  • Butterfly reserve the right to cancel your event without prior notice or make minor changes to events at any time without compensation, if deemed necessary to the overall smooth running of a function. We cannot accept responsibility for the cancellation of any event due to a major force beyond our control (ie: essential maintenance and repairs, terrorist activity, war, Acts of God)
  • Gift Vouchers: for orders of 10 vouchers or more (valued at £30 or above) we will offer the following discounts:
    • 10-20 vouchers: 10% Discount
    • 21-40 vouchers: 25% Discount
    • 41- 60 vouchers: 30% Discount
    • 61-100 vouchers: 40% Discount
    • 100 + vouchers: 50% Discount
